Job Title: Hosted Buyer Assistant

Purpose of Role

We are looking for a customer service focused individual to work with the Hosted Buyer Manager and the Senior Event Operations Executive to help run the operational delivery of the hosted buyer programmes for our client's events.

Key Accountabilities:

Programme Coordination - Customer Service

  • Work closely with the Senior Event Operations Executive to implement and ensure the smooth running of the programme.
  • Regular communication with hosted buyers on the telephone and via e-mail.
  • Assisting with the management of the hosted buyer inboxes. Answering queries and resolving issues.
  • Assist with the logistical requirements for hosted buyer travel. Day to day liaison with the TMC to answer any queries they may have with regard to the travel to be booked. Speak to hosted buyers who query the travel that has been offered to them. Highlight any errors back to the TMC or concerns to the Senior Event Operations Executive or the Hosted Buyer Manager.
  • Assist with providing hosted buyers with all their individual transfer, hotel and networking event arrangements using mail merge.
  • Daily management of the diary system to ensure all hosted buyer appointments have been confirmed. Assist with monitoring the hosted buyers' appointments and chase those hosted buyers who have not completed any or enough appointments by sending chaser emails via mail merge.

Data Management, Acquisition and Retention

  • Create and run reports with hosted buyer information, appointment statistics and general stats.
  • Collating all cancellations and cancellation charges.

  • Computer Literacy and proficient in word and excel.
  • Ability to work under pressure for long periods of time
  • Ability to work as part of a team
  • Service awareness - Good telephone manner and customer service skills
