Fantastic opportunity for a detail focussed Team Assistant who enjoys a varied role with lots of autonomy! Global entertainment company are looking for the glue that bind a couple of teams together administratively. Supporting circa 20 people you will have a wide range of key responsibilities to assist in the seamless running of the teams. Duties to include:
- Pro-active diary management, including organising internal/external meetings and video/audio calls across multiple time zones, ensuring team leaders are advised of any changes to their schedule in advance
- Tracking and planning of teams' working locations
- Meeting preparation, including coordinating technical set-up, taking location of attendees into account
- Arranging travel, including creating and managing detailed itineraries
- Preparation and processing of expense reports
- Finance support, including raising purchase orders and ensuring smooth supplier invoice payment
- Reception of office visitors
Skills and Experience:
- Solid demonstrated experience as a Team Assistant, with excellent administrative skills
- Great organisational skills, with proven experience in arranging business events
- Strong verbal and written communication
- Ability to prioritise tasks from multiple senior stakeholders and manage conflicting demands
- Attention to detail and the ability to deal with confidential information discreetly
- A positive attitude and approachable nature
- Strong sense of initiative and a pro-active style
- Experience with purchase order and invoice processing
- Design skills, with the ability to create impactful presentations
