Job Description

Handle Recruitment are delighted to be working with a successful and international Media Events company to find their next Event and Office Administrator. This role is an exciting opportunity for an individual with a passion for events and the want to start a career within this industry.

Reporting into the Operations Director, the responsibilities included in this role will be:

Events duties:

  • Maintaining the registration sites for all events, both front and back end
  • Building and tailoring the registration forms accordingly for each event
  • Managing the delegate badging system
  • Organising orders with suppliers and providing delegate lists for them as required
  • Providing accurate attendee numbers for all various components of the event and organising all guest lists and table plans.
  • Dealing with any last minute changes on site in an efficient manner
  • Acting as the company's central point of contact for our registration system supplier
  • Acting as the central point of contact for all delegates regarding bookings and registrations, both off and on site
  • Help coordinate the post event follow up
  • Reporting on revenue and delegate numbers internally on a regular basis
  • Ensuring that sponsors, press and media partners register according to their specified agreements
  • Responsible for providing all final statistical reports and breakdowns following each event
  • Creating custom reports and breakdowns for different departments when required
  • Registration desk management at events

Office management and administration duties:

  • Manage cleaners and ensure the office is always presentable
  • Ordering stationery and supplies, as well as the office food/drinks
  • Management of various internal company events
  • Diary management for the CEO
  • Booking international travel and accommodation/visa applications
  • Organising appointments, meetings and conference calls
  • Preparing letters, presentations and reports

Requirements:

  • 6-12 months experience in an administration role (preferably within Events)
  • Additional languages (desired)
  • Relevant degree (desired)
  • Excellent working knowledge of Microsoft applications, particularly Word, Excel and PowerPoint
  • Ability to travel
  • Immediately available or 1-2 weeks notice period
