Job Description

Handle Recruitment are delighted to be representing one of the world's leading global media and entertainment companies, home to the most loved and commercially successful artists in the world. An exciting opportunity has arisen for an organised, proficient and dedicated facilities executive to join them on an initial temporary ongoing basis. As the facilities executive, you will be supporting a small but fast-paced team with administration and data analysis as required. If you have worked previously within a busy facilities role and will have had exposure to the music / entertainment industry we want to hear from you!

Responsibilities will include:

  • Administrative assistance and support to the Facilities department.
  • Responding to maintenance queries requests and call outs in a timely manner.
  • Allocating work that needed to be completed to nominated Contractors and obtaining best possible quotations.
  • Recording details of new maintenance jobs on computer system and updating regularly detailing progress.
  • Tracking the progress of the work being carried out and ensuring work is completed in-line with H&S guidelines.
  • Management of worksheets, ensuring they are kept up to date with correct and relevant information.
  • Creating Purchase Orders, managing invoices; liaison between Contractors and Accounts Payable Department.
  • Manage the administration of our supply chain to ensure consistently excellent service across all areas from creation of Purchase Orders to delivery, invoicing and Quality Control.
  • Manage the global freight logistics to ensure value, service and timeliness of inventory distribution.
  • Monitor and manage our inventory across multiple global 3PL warehouses/ fulfillment centres, consistently hitting weeks of cover targets
  • Exploitation of inventory and sales data to identify and report trends, issues and opportunities
  • Assist with S&OP to ensure optimum performance of all SKUs at all times
  • Strategic monthly and ad-hoc KPI reporting, including highlighting opportunities and making recommendations for service improvement or cost savings
  • Project management of changes and improvements to supply chain management, logistics management & inventory management
  • Ad hoc office management responsibilities as required by Head of Operations/ CEO

  • Ability to adapt quickly and efficiently.

  • An excellent academic record or equivalent work experience
