Handle Recruitment is working with a leading Theatre organisation to find a PA to support their Managing Director.

Key responsibilities will include:

  • Being the lead PA with over-riding responsibility for all PA/reception functions within the organisation
  • Working closely with the Managing Director and others as appropriate to support the achievement of the Company's financial and strategic objectives
  • To manage the inbox of the Managing Director, including prioritising and proactively responding to emails whilst ensuring confidentiality at all times
  • Minute-taking for executive management and monthly board meetings
  • Coordinating, compiling and circulating information/documentation for meetings as required, particularly monthly board packs
  • Arranging RSVP's and entertainment itineraries for the Managing Director and guests as required (including non-work activity and theatre ticket allocation)
  • Organising travel, managing itineraries and acting as the main point of contact for any international/European business travel
  • Liaising with clients/contacts/employees to set up meetings and arrange restaurants/meeting rooms
  • Performance management of PA's and receptionists from recruitment to ensuring continuous development
  • Efficient and proactive management of all projects and special activities
  • Understanding the skills/expertise of others and effectively delegate work, or retain as appropriate, to achieve optimum results and meet all deadlines

The ideal candidate will have:

  • Previous experience in a PA role with high level administrative responsibilities
  • Experience minute taking
  • The ability to maintain complete confidentiality and work with the utmost discretion and integrity at all times
  • Great initiative in identifying tasks, projects and/or potential problems in advance, recommending appropriate solutions and taking ownership of outcomes as appropriate
  • Effective office, time management and organisational skills
  • Computer literate. Well-versed with Windows, Word, Excel, Powerpoint and Outlook
  • Interest or previous experience in the arts/entertainment industry is advantageous
