Job Description

Project Coordinator (IT Infrastructure Team) - Film/Entertainment

We are looking for a Project Coordinator to support our client's IT infrastructure team until the end of the year.

  • Knowledge of standard project methodologies
  • Advanced MS Excel and PowerPoint skills
  • SharePoint site administration and creation of document libraries
  • Basic MS Visio skills
  • Excellent people management skills, able to manage stakeholder relationships at all levels
  • Effective team working is essential in this role, demonstrating strong team orientation, ability to work closely and well with other team members
  • Resilient and proactive personality, capable of problem solving
  • High degree of accuracy and attention to detail at all times, even with the most routine tasks.
  • Extremely organized and ability to prioritize multiple tasks

The Role

Project Governance

  • Track and report project status as required
  • Meeting scheduling, attendance, minutes and action tracking
  • Risk and issue coordination
  • Hosting conference call series and managing weekly project checkpoints

Knowledge Management

  • Manage project knowledge base; ensure materials are hosted on SharePoint, maintain central SharePoint organisation and administer users
  • Prepare deployment toolkits / key templates for each new wave (project plan, status report, action log, SharePoint folder structure, training plan, cutover, stabilization, data migration)
  • Manage cribs and best practices guides across the project
  • Drive standardised deployment methods and toolkits wherever possible

Process Improvement

  • Drive process improvement and efficiencies in teams
  • Run lessons learned and ensure output is built into future wave plans

Cost control

  • Help control T&E spend through recommended hotels, flights, times, sharing taxis, public transport etc
  • Research and advise on T&E cost savings (e.g. analysis of remote training or rollout initiatives)
  • Track actuals against budget
  • Assist in department administration

Communications and Engagement

  • Plan workshops and team events globally, including the creation and maintenance of materials
  • Create 'update' communication tools internally within the project team and externally across the business where required
  • Support change management initiatives and centrally coordinate

Ad hoc

  • Provide extra hands when required in delivery of project and on occasion BAU services
  • Run related mini projects, tasks as required


  • Project management experience
  • Previous experience within technical function. Preferably Infrastructure
  • Previous experience in the entertainment industry ideal but not necessary
