Receptionist & Office Assistant - The Company
Busy creative agency based near Chiswick Park seek entry level reception & office assistant to join their busy team.
Working alongside one other full-time receptionist, this is a newly created role which presents a great opportunity for a candidate who has gained a little reception experience to come in and really make the role their own. As the reception and office assistant, you will be required to spend 50% of your time on the reception desk, meeting and greeting clients and visitors that come in to the agency. The other 50% of your time will be spent working directly with their Office manager, helping to run building checks, processing invoices, managing internal and external relationships and picking up lots of other administrational tasks along the way.
Receptionist & Office Assistant - The Role
Answer all incoming calls quickly and efficiently; and relaying accurate messages.
Greet all visitors in a professional manner and contact the appropriate party immediately. Offer refreshments and ensure they have everything they need until they are collected from reception.
Regularly check the meeting rooms adjoining reception to ensure they are clear, and tidy.
Order and coordinate taxi cabs for visitors and staff.
Work closely with the facilities manager regarding planned visitors, on-going projects, building works etc.
Raise purchase orders, reconcile invoices quickly, allocating job numbers where appropriate and taking up any queries with the supplier
Build relationships with suppliers and ensure the company receives the benefit of competitive rates together with efficient and timely service
Ordering, sorting and arranging delivery of fruit to all departments every week
Carry out daily routine building checks reporting any damage, breakages, faults etc.
Complete health & safety checks

This is an entry-level position, and will suit someone who has gained a little experience on a reception desk, but is keen to take on more responsibility and grow out their administrative skill set. Above all, candidates must be warm, engaging, and be willing to go the extra mile to really take ownership of the position and make it their own.
