Role: Compliance Specialist, Handle Recruitment Ltd

Location: Hybrid - currently 3 days in central London office

What you will be doing

As part of a busy Business Operations team the Compliance Specialist is tasked with keeping track of all temporary and contract workers, making sure we have requested, tracked, and saved all in date and current information on file. Ensuring contractual and regulatory compliance.

Compliance Administration:

Ensure all day-to-day compliance requirements are requested and complete and saved on Bullhorn CRM for all temporary and contact placements, including:

  • Issuing S1, KID and appropriate contracts and handbooks to pending workers and clients for signature via DocuSign.
  • Requesting Limited Company Information from workers operating via their PSC
  • Creating and issuing Limited Company contracts (workers and clients) and contract extensions via DocuSign.
  • Liaising with Umbrella Companies and requesting required information.
  • Creating and issuing Umbrella contracts and extensions.
  • Requesting Right to Work information from workers and using HMRC approved checks to ensure all workers have the relevant proof of R2W.
  • Approving all temporary and contract placements on Bullhorn.
  • Chasing candidates for their reference contact details & sourcing candidate references.
  • Sending temp-packs and forms via echo sign to workers.
  • Running the weekly AWR report, liaising with clients to gather AWR information and updating rates for AWR where appropriate.
  • Managing CV submissions and actions on client specific portals.
  • Run compliance report & distribute.

Temp Desk Administration:

  • Chase missing time sheets weekly - chase candidates to submit and clients to approve.
  • Book registrations on Bullhorn.
  • Ad hoc candidate queries - escalating when required.
  • Carry out weekly checks to manage end-of-assignments:
    • Weekly drop off report.
    • Extend/end bookings.

General Administration:

  • Allocation of Ad slots and monthly reporting to view usage
  • CV formatting
  • Monitoring the website response inbox
  • Assisting Accounts with billing and PO queries.

Person Characteristics:

  • Experience working within temp and contract compliance for a busy Recruitment company.
  • Highly organised.
  • Ability to prioritise in a variable and fast paced environment.
  • Attention to detail.
  • Methodical and process-driven

Skills

  • Experience using a recruitment ATS or CRM.
  • Familiarity with invoicing/ billing procedures.
  • Good understanding of legal compliance affecting recruitment.
