Our client is looking for a talented Event Executive to join their events team who deliver successful events for a variety of leading brands within their portfolio of businesses.

Main Purpose of Role

In this role you will be supporting the senior event/event managers with event management tasks required to deliver the awards to the expected high standard. You will have ownership of aspects of the awards programme and you will support ownership of costs, supplier, and budget management. Processing invoices and managing POs and payments as you go.

Key Responsibilities:

Under guidance and supervision of the senior event manager/event manager own various operational aspects that supports the delivery of each awards programme, to include but not limited to:

  • Adding content and event information to the entry platform
  • Recruitment of judges, send invitations, responses and add judges to website
  • Creating zoom links for virtual judging
  • Allocation of the shortlist to judging timeslots
  • Send out communications to the successful organisations, documenting responses. Inform unsuccessful entries
  • Preparing judging packs and managing judging enquires
  • Manage a virtual room each day during the live judging days. Welcome the judges, and short list presenters and brief them on process
  • Post judging administration including inviting judges to the awards
  • Manage shared inboxes to answer customer queries email and telephone where required
  • Manage and ensure all shortlist images/videos, synopses are received by the deadline
  • Support in the signage and design for the awards event
  • Support team in the creation of all content to be used at the live event, to include short list slides, opening sting and sponsor content
  • Report to event manager/senior event manager any issues with tasks allocated
  • With event manager/senior event manager manage awards budgets, processing supplier invoices, raising POs, sending to accounts for payment and updated estimates and actual costs to budgets
  • Live awards, take a supporting role on allocated tasks during set up, brief the wider team on their responsibilities and jobs. Ensure the event is set up and ready to receive guests. Provide excellent customer experience on the night, checking in guests, answering queries, supporting delivery of the live awards, and managing winners
  • Undertake post event tasks, feedback, debrief and updating results to KPI spreadsheets

Additional Responsibilities:

  • Report to the senior operations team any issues with tasks allocated
  • Attend/support other events that the role isn't necessarily working on to assist with virtual/on the day delivery. This may require UK travel and overnight stay
  • Carry out additional tasks as requested by senior operations team or department which facilitate and support the growth of the events, which may not be specified in your job description

Skills and Experience Required

  • Previous experience delivering live events in a similar organisation
  • Experience in awards operations would be an advantage
  • Degree educated or equivalent qualification preferred
  • Experience of customer services
  • Attention to detail
