There are exactly 16 Mondays left until Christmas Day, and we are seeking an Event Project Manager to work with the Head of Business Development on the delivery of their Christmas lights projects.
Last year they welcomed 200,000 visitors across three historic landscapes at Trentham, Kenwood and Wollaton, and they want to make this years event an even bigger success.
Salary - up to £45,000 DOE
Location - 5 minute walk from Chancery Lane, Hybrid 3 days in the office
Key Responsibilities:
- Lead the safe and efficient delivery of Christmas Light Trail events including
- Create and update the site plans.
- Conduct site visits as necessary in London and Midlands
- Appoint staff and contractors (using a tendering process where appropriate) and manage the relationships with them, obtaining quotes and ensuring full delivery.
- Administer the application process for installations and collaborations.
- Work with venues, local authorities, responsible authorities, and other stakeholders to deliver the event, including making licence and planning applications and attending SAG and any other meetings as relevant
- Making best efforts to procure items within the budget limits.
- Providing contractors with specific budget lines to spend against and regularly reviewing them.
- Ensuring that the company's PO system is used for all procurement.
- Ensuring that the Work in Progress column on the budget is updated on a regular basis.
- Reporting regularly to the promoter as to the current forecast spend and alerting them to any potential issues as they happen.
- Work with the finance team to approve payment of invoices against PO.
- Explore the feasibility and potential of new sites events with the Head of Business Development, including exploring the suitability of the location and producing draft budgets.
- Undertake any other relevant duties or reasonable requests as requested by any member of the senior management team
You will have:
5 years of experience in a similar role.
- Knowledge and passion for the live events industry.
- Accuracy and exceptional attention to detail.
- Ability to adapt and respond to changes in environment and priorities.
- Excellent communication, leadership, problem solving and analytical skills.
- Ability to manage multiple deadlines.
- Strong organisational skills, deadline driven and able to manage multiple projects simultaneously.
- Good working knowledge of MS office and excellent knowledge using Excel for budgeting.
