Production Coordinator (Operations)

Location: Remote with onsite days

This is a key role at the heart of the operations team, ensuring that programmes run seamlessly behind the scenes. You'll be the person who keeps everything moving - coordinating logistics, managing systems, streamlining processes and ensuring that every project runs as smoothly as it looks on stage.

The Role

You'll take ownership of the logistical, technical and financial processes that underpin the work. From onboarding new members and managing bookings to coordinating travel, finances and schedules. This role sits at the intersection of creativity and operations. It's fast-paced, detail-driven and hugely rewarding - perfect for someone who loves a challenge, thrives under pressure and takes real pride in getting things right.

Key Responsibilities

Programme and Membership Coordination

  • Lead onboarding for new members and freelance coaches
  • Manage class allocations, user accounts and online booking systems
  • Coordinate technical setups for online sessions and masterclasses
  • Prepare logistics for live events, including itineraries and travel

General Production and Financial Administration

  • Oversee the full financial lifecycle for members, including payments, upgrades, scholarships and reporting
  • Generate and reconcile payment reports, monitor accounts and manage the debtors process
  • Maintain company marketing materials and support the main inbox
  • Manage venue and supplier bookings for productions and outreach events
  • Oversee safeguarding checks and licensing for all personnel

On-the-Ground Production Support

  • Provide hands-on support at auditions, workshops and masterclasses
  • Assist with performance licensing and event coordination

About You

  • Highly organised and confident in a fast-paced, high-performing environment
  • Experience in coordination, logistics or senior administration, ideally in a creative setting
  • Comfortable with Google Suite, CRM and booking systems
  • Strong communicator, both written and verbal
  • Detail-oriented with a proactive approach to problem-solving
  • Passionate about performing arts and creating opportunities for young people
