Key Responsibilities:
Diary Management:
Serve as the first point of contact, handling calls and greeting guests with professionalism and discretion.
Manage the executive's schedule, arranging meetings with talent, writers, directors, and internal teams.
Coordinate with other key executives to ensure meetings and calls are appropriately scheduled and prepared for.
Keep the executive informed and prepared for meetings, including reviewing relevant materials and follow-ups.
Travel & Events:
Arrange national and international travel and accommodation for talent and executives.
Organise internal and external screenings, departmental events, and talent meetings.
Meetings & Communication:
Assist in preparing agendas for weekly internal development meetings.
Take minutes, track tasks, and ensure follow-up actions are completed.
Liaise with production, legal, and finance teams to maintain efficient communication and information flow.
Submissions & Script Management:
Oversee the submissions log and coordinate with external readers.
Manage and circulate coverage to the development team, and draft responses as needed.
Handle scripts, including proofing, editing, labelling, and secure distribution.
Support the development team with creating beat-sheets, project synopses, and tracking script changes.
General Admin Support:
Research industry trends, projects, and talent for meeting preparation.
Reconcile business expenses and manage departmental calendars.
Ensure the office environment is well-organised and executives have everything needed for long meetings or events.
Qualifications:
Previous experience as an Executive Assistant, ideally within the film or television industry.
Excellent organisational skills, with the ability to manage a busy diary and prioritise tasks effectively.
Strong interpersonal and communication skills, with the ability to handle confidential information with discretion.
Confidence in using IT systems and ensuring swift communication within the department.
Flexibility and stamina to adapt to changing schedules and last-minute requests.
A genuine interest and enthusiasm for film, television, and the arts.
