Handle are thrilled to be partnering with a busy, well established production company to source an Office Manager. This person will play a central role in the central London office.

This person will be responsible for facilitating the smooth running of the office and supporting requirements of the production teams including administrative tasks, maintaining and developing positive relationships with landlords, suppliers and clients, taking care of all office equipment and liaising with the IT department and employees.

General office management, including desk planning, greeting guests, ordering supplies, overseeing office maintenance and forward planning requirements will also be a large part of this role.

You will be required to tend to IT issues and provide IT support to staff, maintain a log of all equipment and ensure the correct storage and logging of all company assets. Plus onboarding all new team members and looking after their inductions.

Key Responsibilities will include:

  • Being the main point of contact and support for employees, suppliers and clients entering the office.
  • Being the first point of contact when someone enters the office and representing the image of the company.
  • Liaising and communicating with landlords, maintenance and cleaning companies.
  • Communicating with different production teams throughout the pre-production and production phases of our television shows about their office and facility's needs.
  • General office management, maintenance, administration tasks.
  • Responsibility for purchase, installation and maintenance of office supplies.
  • Managing IT systems and communicating with IT support to quickly and efficiently resolve technical issues.
  • Extensive knowledge of software and systems for office management.
  • HR: keeping staff records, ensuring Health and Safety regulations and obligations are in place.
  • Desk planning for productions, organising and maintaining records on technical equipment, keys and employees.
  • Planning company and office events.
  • Managing deliveries and the sending of parcels, keeping the office kitchen clean and well stocked, maintaining the presentation and hygiene standards around the office. Making sure meeting rooms are ready for meetings.
  • Managing the meeting room booking system.
  • Setting up new systems to make office run effectively.
  • Some PA responsibilities for management (when required) - assisting on tasks related to production if necessary.
  • On boarding new team members and doing inductions. Including preparing emails, laptops and desk areas.
  • Supporting the production teams with what they require from their working environments.
  • Managing the IT and cloud storages systems and improving them as required.

The ideal person will have:

  • Previous experience in an Office Manager role in the creative sector
  • Proficient computing and technical skills
  • Exceptional organisation and planning skills
  • A professional telephone manner and strong written communication skills
  • The ability to prioritise their own workload, use their initiative and think creatively
  • A problem solving attitude and is confident working in a fast-paced, forever-changing environment
  • Can multitask and has a can do approach
  • Excellent interpersonal skills
