An opportunity to be part of a globally renowned, market leader within media and entertainment! Our client is keen to appoint a highly skilled legal PA to support the SVP, Head of Business & Legal Affairs, with some further team/ Executive support as required.
Suitable candidates must possess exceptional attention to detail, coupled with strong technical proficiency. A legal support background is a key necessity for this role.
Furthermore, we are seeking candidates who are immediately available, given the fast approaching start date. This will be a temporary position, due to start ASAP through to the end of January, with potential to extend thereafter.
Key responsibilities involved:
- Extensive diary management for the SVP
- Meeting coordination, preparation and management of agendas and minutes.
- Inbox management- managing emails, delegated actions, activities, deadlines and reminders.
- Manage all travel requirements including travel itineraries, bookings and visas where required - both European and International
- Ensure the SVP & Senior Managers are fully briefed and prepared for planned meetings, events, industry dinners and conferences
- Preparation of contracts, arranging signatures
- Organisation of conference calls/video conference calls
- Dealing with telephone calls and enquires as required
- Process expenses in a timely manner
- Preparation of briefing and presentational materials
- Engagement with other EMEA Leadership team PAs/EAs to facilitate engagements with their principles.
- Maintain good working relationships with all internal departments.
- Deal with ad-hoc queries and action or pass to the appropriate person as necessary
- Prioritise daily workload, in conjunction with urgent requirements
Successful applicants will possess fantastic communication skills, with extensive experience of liaising with senior stakeholders.
This person will be the centralised point of contact/ the gatekeeper- therefore, they must be able to understand and build relationships quickly and effectively.
This role will partner with Team Assistants/ PA's across the business. The selected PA will need to work in collaboration with other Assistants, and work in partnership with them whilst organising events as needed (e.g. looking after and supporting senior US personnel visiting the London HQ).
REQUIRED SKILLS/ EXPERIENCE:
- Minimum of 2 years' experience supporting a busy legal team/ legal Executive, offering full administrative and logistical assistance
- Tech savvy- strong system skills (PowerPoint, Excel and Word)
- Proven experience of data management, reporting
- Strong critical thinking and problem-solving skills
- Engagement with senior stakeholders
- Experience in a large, multi-national media organisation (highly desirable)
- Organised, detail orientated and able to multi-task
- Excellent communication skills both verbal and written - including document formatting and proof reading
- Able to prepare professional presentations via PowerPoint
- Prior experience of working in the media industry
- Excellent time management skills
- Responsive, collaborative and a strong communicator- a key part of this role will involve forming solid relationships with a number of departments, UK and International
- Consistent exercise of sound judgement and discretion in all matters.
- Performance to a high standard, with excellent attention to detail, on a timely basis.
The role will be based in the London office 3 days per week/ 2 days remote.
