Get ahead of the Q4 rush: Why summer is the time to build your events team

My team genuinely loves the excitement of a last-minute recruitment challenge. Solving a staffing problem against the clock and helping a client deliver an event is part of what makes this industry so rewarding.

But after years of supporting events businesses through busy delivery periods, I've found that the best recruitment outcomes usually have one thing in common: they start early, not when the pressure is already on.

Is your team’s people strategy ready?

If Q4 is shaping up to be a busy one, your people strategy needs to keep pace with your events plan because as demand builds through October, November and December, experienced event professionals become increasingly difficult to secure.

The clients I speak to every summer are rarely worried about whether they'll be busy, they're thinking about whether they'll have the right people in place when they are. These are the conversations I encourage them to have before the end of year rush begins.

1. Plan! And then plan for growth!

The best hiring decisions don't start with a vacancy. They start with your event calendar.

Where do delivery timelines overlap? Which roles are business critical? Where could one delayed hire put an event at risk? What would an excellent additional member of the team bring to the company ambitions and growth?

Planning your workforce alongside your events gives you a much clearer view of where you'll need support, when you'll need it, and where to act early.

2. Understand where the market will be competitive

Not every role is equally easy to hire, and demand seems to come in waves!

As Q4 approaches, experienced Event Managers, Producers, Business Development and Marketing specialists are all in high demand especially on the interim / contract side.

The challenge is that by the time many businesses start hiring, the strongest candidates are already committed.

That's why planning ahead makes such a difference.

Before recruitment begins, we help clients understand where demand is building, which roles are likely to be the hardest to fill, and when to go to market. With the right insight, you can build a hiring plan that puts you ahead of the competition instead of chasing talent when availability is already limited.

3. Build relationships before you need them

The best event professionals rarely stay available for long. Starting conversations early gives you access to a wider pool of talent and removes much of the pressure that comes with recruiting against a live event deadline.

It also gives candidates the confidence that you've planned ahead, a great first impression before they've even joined your team.

4. Use summer to strengthen your existing team

Recruitment is only part of the picture. Summer gives you something that's often in short supply later in the year: time. Time to decide whether permanent, temporary or freelance resource is the right answer for each event, rather than making that decision under pressure.

Time to onboard new starters properly, refresh processes, share learning from recent events and invest in training before the pace increases. Small improvements now often have the biggest impact when your calendar is at its busiest.

5. Learn from your busiest events

Every event tells you something about the people you hired. Which roles were hardest to fill? Where did your team feel stretched? Did staffing levels match demand? Were there any operational pinch points?

Acting on what you already know now is far easier than trying to solve the same challenges in the middle of October.

6. Don't Wait Until You Have a Vacancy

One of the biggest misconceptions about people planning and recruitment is that the conversation starts when a role becomes available. In reality, that's often when your options begin to narrow.

Some of the most valuable conversations we have with clients happen weeks or even months before recruitment starts. We review upcoming projects, discuss hiring priorities, share salary and market insight, and identify where competition for talent is likely to be strongest.

It means that when hiring begins, there's already a plan in place.

Q4 has a habit of arriving faster than anyone expects.
