As an Event Operations Assistant, you will play a pivotal role in ensuring our clients events run smoothly. This includes managing delegate and speaker coordination, assisting with webinar logistics, handling supplier communications, and supporting on-site operations for conferences and awards. While the role is initially temporary, there is an exciting opportunity for the right candidate to become a permanent member of the team.
Key Responsibilities:
Delegate & Speaker Management: Coordinate with delegates and speakers before and during events, ensuring seamless participation and communication.
Reporting: Assist with event reporting, tracking engagement, and providing key insights post-event.
Webinar & Zoom Support: Manage webinar schedules, assist the Zoom partner with event logistics, and provide technical support to ensure virtual events are executed flawlessly.
Awards & Conference Support: Assist on-site with the logistics and coordination of awards and conferences, ensuring smooth operations throughout.
Supplier Liaison: Be the point of contact for suppliers, ensuring materials (such as badges) are printed and distributed in a timely manner.
Salesforce & Cvent: Support event registration and reporting through Salesforce and Cvent. We are especially looking for someone with Salesforce experience to streamline event operations.
On-the-Day Support: Provide hands-on assistance with any task as needed, ensuring the event's success and smooth execution.
Requirements:
Previous experience in event operations or a related field is desirable.
Strong organizational and multitasking abilities, with attention to detail.
Excellent communication skills and the ability to collaborate with clients, suppliers, and colleagues.
Familiarity with Salesforce and Cvent is preferred, especially if you're a Salesforce whizz!
Experience with virtual event platforms like Zoom is a plus.
Ability to stay calm under pressure and handle multiple tasks during busy event days.
Flexibility needed based on the event schedule.
A hands-on, proactive approach to ensuring all event details are managed effectively.
Desirable Skills:
Proficiency in Salesforce.
Experience with Cvent and Zoom.
Background in coordinating large conferences or awards events.
Strong problem-solving and time management skills.
