Exciting opportunity! An iconic global technology company is looking for a tech-savvy Executive Assistant for a 12-month temporary role to start ASAP (Mid-October). You'll be supporting three Senior Directors across the Retail Engagement, Merchandising, and Global Retail teams in EMEIA.

If you thrive in a busy, varied, and ever-changing environment where no two days are the same, this could be the role for you. You'll need strong experience supporting multiple senior leaders simultaneously, with proven skills in event planning and process optimisation. Comfort managing complex logistics, juggling priorities across multiple time zones, and working confidently with stakeholders at all levels is essential.

Attention to detail is a must, as is being tech-savvy and open to adopting new tools including AI to drive efficiency.

To be considered, you'll need to clearly demonstrate experience supporting multiple Senior Directors across different time zones.

Key Responsibilities

Executive Support

  • Manage complex calendars across multiple time zones, prioritising effectively as schedules change.
  • Coordinate international travel, including visas, compliance requirements, and detailed itineraries.
  • Process expenses and reconcile reports accurately and promptly.
  • Create and maintain internal process documents and databases to support business needs.
  • Act as the point of contact between executives, employees, clients, and other external partners.
  • Attend team meetings and provide notes and follow-ups as needed.

Team Operations

  • Act as the operational hub for the EMEIA team, ensuring smooth day-to-day workflows.
  • Plan and manage meetings, including agendas, minutes, action tracking, and follow-ups.
  • Support onboarding and offboarding, including equipment and workspace set-up.

Events and Experiences

  • Lead planning and logistics for internal and external events, including executive visits, leadership summits, and all-hands meetings.
  • Collaborate with internal teams and vendors to deliver seamless events.

Systems, Processes and Reporting

  • Maintain and improve systems for planning, tracking, and team coordination (e.g., Wrike, Box, shared drives).
  • Forecast, track, and reconcile travel and expenses.
  • Drive process improvements and introduce AI or automation tools to boost efficiency.

Facilities and Technology

  • Oversee workspace operations, including meeting room bookings and seating arrangements.
  • Manage team technology and equipment, place orders, and provide first-line troubleshooting.

Key Requirements

  • Extensive experience supporting senior leaders in a fast-paced, global organisation.
  • Proven skills in calendar and travel management across multiple time zones.
  • Demonstrated experience supporting multiple senior directors simultaneously across different time zones.
  • Highly tech-savvy, with proficiency across platforms such as Slack, Box, and Wrike.
  • Familiarity with, or strong interest in, using AI and automation tools to enhance team operations.
  • Experience working for a global company within Retail Technology, Technology, and/or SaaS is highly desirable.
