Handle are working with a global marketing agency looking for an Executive Assistant to support senior leaders and keep the agency running smoothly. This role is initially a 3 month temporary opportunity with the potential to extend.

The role

You'll provide tiered support to a range of stakeholders from full-on exec assistance to light-touch admin, plus help with general office coordination and internal events.

You will:

  • Own complex diary and inbox management for senior leaders
    • Plan and prioritise busy schedules, resolve clashes, prepare leaders for meetings, and keep on top of email traffic - flagging what matters and responding on their behalf where appropriate.
  • Arrange travel and itineraries
    • Book UK and international travel, accommodation and transfers, ensuring all details are accurate, cost-effective and clearly documented in easy-to-follow itineraries.
  • Organise meetings and key sessions
    • Handle end-to-end logistics: booking and preparing meeting rooms, printing or sharing materials, creating polished presentations, arranging catering and capturing actions and minutes when needed.
  • Process timesheets and expenses
    • Ensure timesheets are completed on time and that expenses are submitted, coded correctly and tracked through to approval and payment.
  • Provide ad hoc admin support across wider teams where necessary
  • Support day-to-day office operations and events

About you

  • Proven experience in a similar EA/ PA role
  • Experience working within a Marketing and or PR agency
  • Confident managing multiple stakeholders with different needs
  • Exceptionally organised with strong time-management skills
  • Clear, professional written and verbal communicator
  • Discreet, trustworthy and comfortable handling confidential information
  • Happy to use your initiative and make routine decisions
  • Calm, adaptable and at home in a fast-paced agency
  • Proficient in Office 365 (especially PowerPoint); experience with D365 and similar tools a bonus

Hours

Monday-Friday, 9:00am-5:30pm with 2 days WFH.
